How to create an entity?

In this article, you will learn how to upload a database so that you can use it later with an intent.

The use of entities (registry) in your bot, allows you to create parameters for custom validations. In other words, you can upload a database of your business in Botmaker to facilitate your variables configuration process.

To find this feature in the platform, go to Home> Entities

After that process, you will be able to add a database by clicking on the + Create new entity icon.

A box will open for you to add the name of the file. We suggest that this name be the same as the one you want to add in the variable creation field, so it will be easier to organize.

  • Important information:
  • Excel file extension: .xlsx
  • How to create this spreadsheet?
  • You must create it inside Excel.
  • You can only use the first column (EX: Column A).
  • You have to write "NAME" in the first column always.

After uploading the database, it will be saved in the platform:

How to use this database within an intent?

You can ask a Question to request an answer from your client, from where you will extract this spreadsheet data. This way, the conversational flow will continue only if the client is part of that database.

Look at the following example: _

After creating the question, you must follow these steps:

  1. The valid values are: Here, you have to select Custom entities.

  2. The entity's name is: You need to choose the database you want to search in.

  3. You can create the variable where you want to store this data; in this case, you must follow the Partner pattern.

  4. The invalid answer is: You can give the client the option to provide a new reply before asking a new question. If the response is within the created database, the flow will continue. If it is not a client of that database, you can send it to another different flow after the second incorrect answer.
